ScribeIQ Privacy Policy

This Privacy Policy explains what information ScribeIQ (“the app”, “we”) handles, and how. ScribeIQ is designed privacy first: your recordings and notes belong to you, live on your devices, and are never sent to servers operated by us. We operate no accounts, no analytics, and no tracking.

This policy is prepared with reference to the Singapore Personal Data Protection Act 2012 (PDPA). Where you are located elsewhere, equivalent rights (such as those under the GDPR or CCPA) are respected in the same way, because the app’s design gives you direct control of all your data.

1. What information the app handles

Audio recordings: captured when you choose to record, and stored on the recording device. Audio is never uploaded automatically, and never to us: the app has no server. You may choose to back up individual recordings, or all of them, into your own iCloud Drive, and you may share or export a recording to any destination you pick. Nothing leaves the device until you ask for it.
Transcripts, summaries, action items, and notes: generated from your recordings and stored on your device.
Speaker names, tags, and glossary terms: entered by you, stored on your device.
API keys: stored in the device Keychain, never in the app’s files or any backup we control.

The app collects no name, email address, location, advertising identifier, or usage analytics. There is no account to create.

2. How your information is processed

On this device: audio capture, transcription (Apple’s on-device speech recognition), search indexing, and speaker analytics all run locally and work without any network connection.
AI features you invoke: when you request a summary, action items, entity recognition, speaker labelling, or chat, the meeting transcript (text only, never audio) is sent to the AI provider you selected in Settings: Anthropic, OpenAI, or OpenRouter, using your own API key. Their handling of that text is governed by their privacy policies. Nothing is sent until you invoke an AI feature.
Sensitive meetings: a meeting marked Sensitive is never sent to any AI provider, without exception.

3. When information is shared

Only at your instruction:

AI providers: transcripts, as described above, when you use AI features.
iCloud sync (optional): when enabled, meetings, transcripts, summaries, and action items are stored in your private iCloud database, accessible only to your Apple ID. Audio files are never part of this sync. Apple acts as the storage provider under its own terms.
Audio backup (optional, never automatic): when you choose to back up a recording, a copy is placed in ScribeIQ’s folder in your own iCloud Drive, accessible only to your Apple ID and visible to you in the Files app. Recordings are never copied there on their own, and you can remove a backup at any time. Apple acts as the storage provider under its own terms.
Exports and sharing: PDFs, text files, audio files, emails, Reminders, Calendar events, and webhook deliveries go only to the destinations you choose, when you choose.
Webhook (optional): if you configure an endpoint, meeting data is sent there only when you press the Webhook button. You are responsible for that endpoint.

We never sell or rent personal information, and have no data to sell.

4. International transfers

The app itself transfers nothing across borders. Where you use AI features, your chosen provider may process the transcript in other countries under its own safeguards; consult that provider’s policy. iCloud data residency is managed by Apple.

5. Retention and deletion

Everything is retained on your device until you delete it. Deleting a meeting removes its audio, transcript, search index entries, and derived content from the device (and from your private iCloud, where sync is enabled). Removing an API key removes it from the Keychain. Uninstalling the app removes all local data.

Audio you chose to back up is the deliberate exception: those copies live in your own iCloud Drive and survive uninstalling the app, which is the point of a backup. They remain yours to keep or delete, in the Files app or from within ScribeIQ.

6. Security

Recordings and data are stored within the app’s protected sandbox and covered by your device’s encryption. API keys are held in the Keychain. Network calls to AI providers use HTTPS. No method of transmission is entirely secure; choose AI providers you trust.

7. Your rights

Because your data never leaves your control, you exercise your rights (access, correction, deletion, portability, and withdrawal of consent under the PDPA or equivalent laws) directly in the app: view and edit everything, export anything, delete anything. There is no third party holding your data on our behalf to petition.

You are responsible for complying with the laws that apply to recording conversations in your location, including obtaining any consent required from meeting participants. In Singapore, you should be a party to the conversation you record or have the consent of the participants.

9. Children

ScribeIQ is intended for users aged 18 and above.

10. Changes to this policy

Material changes to this policy will be reflected in the app with an updated date at the top of this document.
